How to Convince your Boss to Switch to Coworking Space in 10 Minutes

So you’ve learned about coworking, adored its beautiful, open-space interior, got excited on its numerous perks, and the possibility of not getting stuck in traffic makes you want to say, “Shut up and take my money!”

 

But the problem is, it’s not up to you. You need a go-ahead from your boss before you could bid adieu to your holed up office cubicle and say hello to coworking space.

 

And for us who have tried to ask the boss to excuse us from mandatory Christmas party presentations, or for a raise or a promotion, getting a “yes” is not easy. And to convince him/her to move to a coworking space in 10 minutes? That’s impossible, right? Not really. In fact, 10 minutes is practical and realistic. 

 

A team of scholars from London School of Economics and Harvard Business School have studied how executives spend and organize their time. The study entitled Executive Time Use Project is featured in Wall Street Journal and showed that on average, executives spend approximately 18 hours of a 55-hour workweek in meetings, more than 3 hours on calls, and 5 hours in business meals. Some of the remaining time is allotted to personal activities and alone time at work only averaged to 6 hours in a week. These are the results of one sample of their study involving 65 CEOs as respondents.

 

This simply means that 10 minutes with your boss is probably all you’re going to get, so you’d better make the most of it.

How can you get a nod for coworking from your boss? And what’s more, do it in 10 minutes? If you think discussing the benefits of coworking is going to sell it, then you’re wrong. A lot of our approaches to convincing the boss are not really effective as you will discover below.

 

1. It’s not about coworking. It’s about a solution to a problem.


The truth is, your boss’s interest in coworking may be the same as his/her interest in your neighbor’s sister’s favorite Kpop song. What he/she is really interested in is solving business problems.

 

Instead of focusing on coworking itself (what it is and what it can do), present it as a solution to one or two business challenges your boss deems important. Here are some corporate problems where the benefits of coworking can help.

• The coworking space is specially designed for collaboration and learning. Working together and learning from experts and other professionals affect productivity positively.


• It eliminates the stiffness and monotony of traditional office. According to Harvard Business Review, having a sense of autonomy and space for personal expression make coworking professionals thrive.

High operation cost

• Coworking space is the most cost-efficient type of office with a straight-forward and flexible pricing scheme. Workstations, office and communication equipment, and internet connection are already available and ready to use. No need to spend on buying, installing, and maintaining these office requirements.


• You can also save money from no longer acquiring security and maintenance equipment, services, and personnel.

High employee turnover rate

• The coworking culture is less stressful and dynamic. Employees can participate in many community activities that boost their know-how, confidence, and morale in doing their jobs.


• The interior and culture of a coworking space encourage work-life balance.


• Some coworking spaces have in-house HR and recruitment specialists to help you with workforce requirements and needs.

Unstable business growth

• Coworking is the easiest to scale up or down depending on business conditions.


• Find potential business partners and mentors, and increase your presence in the local industry to help stabilize your business.

Technology requirements

• No need to install technology infrastructure.


• Depending on the coworking space, you can take advantage of discounts to different tech solutions and even get help in finding the right CTO (Chief Technology Officer).

 

Remember, no matter how enthusiastic you are about coworking, it’s not about coworking. Get this one right, and convincing your boss will be much easier. Even when trying to set an appointment or to start a conversation with him/her, a statement that says, “I think I found a way to solve x company problem, and I would like to have just 10 minutes to discuss it,” is likely to be heard than “I would like to discuss the many great benefits of coworking that I know you will love.” By offering a solution to a problem, you appear to give a favor to your boss than asking for one.

 

 

2. Don’t talk about the features and benefits of coworking. Talk about the results.

Sure, the features and benefits of coworking are something any business owner should and would consider. But again, it’s not about coworking. So instead of counting down how awesome coworking is, tell your boss its effect on businesses with similar status or challenges to yours, or present studies that show its effect on business issues you’re trying to solve.

 

For instance, if your boss has been looking for potential partners for months, stating that coworking could grow his/her network sounds good. But revealing to your boss that 82% reported an increase in their professional network because of coworking based on a Harvard Business Review study sounds more convincing.

 

 

3. Focus on potential loss than on potential gains.

A Nielsen Norman Group article summarizes the principle of loss aversion this way: “When choosing among several alternatives, people avoid losses and optimize for sure wins because the pain of losing is greater than the satisfaction of an equivalent gain.”

 

Use loss aversion to your advantage and see what and how much your company is possibly losing by not choosing coworking to solve a problem. For example, if you’re trying to solve high operation cost, compute how much the company pays monthly for office rental, utility bills, maintenance cost and others. The sum could be a potential loss your boss would rather avoid.

 

 

The Plan

After knowing some strategies that could help you convince your boss to move from a familiar office setup to a more flexible coworking space, you need to plan how to apply these strategies and how you would go about your actual pitch. Below is an example of how it could go.

 

  • THE PROBLEM. Describe the company problem you aim to solve.

Time allotment: 1 minute

 

  • THE SOLUTION. Discuss how coworking can solve the problem. Show experiences of other companies and/or studies that show the effects of coworking in line with solving the problem.

Time allotment: 5 minutes

 

  • THE POSSIBILITY. Show how you plan to carry out the testing phase or the switch upon approval. (You could actually try out coworking even for just a month.) Also show the possible loss the company could incur in case of a disapproval.

Time allotment: 3 minutes

 

  • THE RECOMMENDATION. Present possible coworking spaces your boss could consider. Giving at least two recommendations during the pitch would be fine. Just present more possible coworking spaces on your printed pitch if needed.

Time allotment: 1 minute

 

It is important to thank your boss for his/her time after you make your pitch. But besides a compelling 10-minute meeting with your boss, presenting a written (and a more comprehensive) pitch could come in handy and can even help you seal the deal.
